Available today

Neoo Provisioning is available today for all our partners. It replaces our previous provisioning solution and sits where the work already happens: on the client record and in its tickets. Ordering a service, assigning a licence, creating a user, opening an application: everything now goes through one flow, in Neoo.

The idea is simple. A client request should not travel through several tools and several teams before it becomes a working service. With Neoo Provisioning, the person who receives the request carries it through to the end, and everyone can see where it stands.

The complete flow for a demo company: service and licence, first user, application, validation, then launch from Go. Two simulated steps are labelled on screen.

From request to application, one flow

The film above follows a typical request. It takes seven steps, always in the same order, and each one is guided on screen.

  1. Start from the request

In a ticket, open the client information and choose “Add service”. You can also start straight from the client record.

  2. Create the company if needed

For a new prospect, a demo company is created in seconds: a short name, no VAT number, and the “Demo” type.

  3. Choose the service

The catalogue shows the service you need, for example One App, with its guided steps and the matching licence.

  4. Create the user

A sign-in name on the client’s domain and a password that meets its security policy. Then you place the order.

  5. Pick the application

The application to publish, here WordPad, with the language of its desktop.

  6. Validate and provision

The request is validated, then Neoo provisions the client, the user and the application, checking every step. The service becomes active.

  7. Launch from Go

The user opens Go, right in the Neoo menu. The application is waiting: one click, and it starts.

What changes most is continuity. The request, the order, the activation and the user’s access stay linked to the same client and the same ticket. Nothing is retyped, and the history stays complete. Applications published this way are the ones we present on the Desktop & Apps page.

Services at the heart of the client record

On a client record, the “Licence” tab brings together its provisioning services. Three counters give the overall picture: active services, activations in progress and required actions.

  • Each service shows its state, its provisioned users and the licences still available.
  • “Required actions” lists what needs attention: a licence to activate or an attempt that failed.
  • “My services” shows who uses what at this client.
  • “Add a service” opens a guided order, from choosing the service to the confirmation.

Chapters

The rest of the record stays where it was: the commercial tab gathers subscriptions and contracts, and the user list shows each person’s products, their status and their activation date. Provisioning joins that context instead of living beside it.

A guided catalogue, service by service

“Add a service” opens a wizard for the client concerned. The catalogue groups services by category: productivity, business applications, Microsoft. Filters show what needs a licence, and each card shows how many licences are still available.

Depending on the service chosen, the wizard adds the steps that are needed, no more and no less. A simple service is ordered in a few screens; a Microsoft product adds the licence, the user, the review and the confirmation.

Microsoft 365 licences: start from what the client has

Microsoft licences start from the client’s Microsoft 365 environment. Its Microsoft service in Neoo holds the name of that environment, its default domain and the identifiers that link it to your Microsoft partner account. The client’s domains are listed too, ready for new user accounts.

Once that environment is linked, the Microsoft category of the catalogue lists the Microsoft 365 plans and add-ons. The order then comes down to three decisions.

How many licences, and on what terms

The licence step sets the quantity, then the commitment and billing: one month, or one year billed monthly or annually. Before creating anything, Neoo checks the client’s current subscriptions. If none shares the same terms, a new subscription is created.

For whom

Each licence goes to one person. You pick existing accounts, create new ones, or choose “Assign later” to order the licences without provisioning a user yet. They then wait, ready to be activated.

Review, then order

The summary repeats the product, the quantity, the commitment, the billing and the list of people who will receive a licence. “Order and activate” places the order and starts provisioning.

Adding a service and managing Microsoft licences

Chapters

Every state, explained

A service always has a state, and its meaning is spelled out at the bottom of the tab. Nobody has to guess where an order stands.

  • “Ready to be activated”: a licence is available and only needs to be assigned.
  • “Licence needed”: none are left, a new order is required.
  • “Activation in progress”: activation is under way and shows its current step.
  • “Active”: the service is running for its users.
  • “Suspended”: the service is waiting for a payment.
  • “Error”: a step failed and an action is needed.

When an attempt fails

If a step fails, the service shows an error and joins the required actions. Its tracking opens user by user: the latest attempt on top, earlier ones kept below, and technical details one click away. The “Assign” button then reassigns the licence to a user.

An order follows one flow, and every step leaves a trace.

Add licences without multiplying subscriptions

Microsoft 365 clients see their products grouped under “Microsoft licences”. The group counts the products, the users and the licences still available. A monthly product can sit next to annual ones, each with its own terms.

“Manage the service” opens a product with its users: every licence is assigned, and every user shows their licence terms. Tabs separate the users of the service, the client’s other users and all accounts.

To order more, “Order licences” starts from what the client already has. Neoo shows its current Microsoft subscriptions, and the new licence is added to the existing subscription: same end date, a single invoice line. If you prefer, a checkbox creates a separate subscription with its own renewal date.

What changes for partners

Neoo Provisioning replaces our previous provisioning solution. Orders for services, licences and applications now go through Neoo, from the client record or from a ticket.

  • One place to order, assign and track the services of every client.
  • Clear states and grouped required actions, instead of case-by-case checks.
  • Microsoft 365 licences attached to existing subscriptions when the terms allow it, for simpler invoices.
  • Immediate access for the end user, who launches their applications from Go.

To train yourself and your teams, the films in this article are also available in the Neoo video library, in the partners section, with captions in French, English and Dutch. They are split into chapters and can be shared as they are with a technician who is new to the tool.

Neoo Provisioning is part of what we offer IT service providers: the Neoo MSP page presents the client record, licences and the technician’s day. If you are building a broader offer for your clients, our article on custom applications takes the thinking further.

Frequently asked questions

What is Neoo Provisioning?

The Neoo system that turns an order into active services for each client. Licences, users and applications are ordered, assigned and tracked in one place, from the client record or from a ticket.

Does Neoo Provisioning replace the previous solution?

Yes. It is available today and replaces our previous provisioning solution. Your Neoo contact will help you with your existing services.

Do I need a Microsoft 365 environment?

For Microsoft licences, yes: Neoo starts from the client’s Microsoft 365 environment, linked to its Microsoft service in Neoo, and from the subscriptions it already has. Other catalogue services, such as One App and published applications, follow the same flow without those steps.

What happens if an activation fails?

The service switches to an error and joins the required actions. Its tracking shows every attempt, user by user, with the technical details, and the licence can be reassigned.

Where can I find the training videos?

In this article and in the Neoo video library, partners section. The films are narrated in English and captioned in French, English and Dutch.
